The answer to this question depends on the type of phone system you have at your company. If you’ve had the same system for more than a few years, it’s probably a system of phone cables connected together at a single point, like a phone closet. In this case, you’ll likely need an on hold player in order for your callers to hear music or messages on hold.
There are many different types of on hold players, but here are a few of the most common:
-CD-based: audio is burned on CD which must be inserted into the equipment in order to update the on hold messages.
-USB-based: audio is sent via email. Audio must be copied to the USB stick and inserted back into the player.
-Remote load: equipment is connected to a phone, fax, or internet cable, which can be loaded from a remote location.
However, many companies now have Voice over IP (VoIP) phone systems. These systems are hosted online and updates are made via a computer program. This is great news for on hold providers and clients alike, as the delivery is even more convenient. With a VoIP system, you don’t need a separate piece of equipment for on hold music or messages. You just need an audio file!
